How Much Does an AI Agent Cost for a Small Business?
AI agent costs range from low-cost self-serve subscriptions to managed and custom builds. Use this formula to compare total monthly cost and break-even.

An AI agent can cost nothing for a small experiment, roughly $20–$100 a month for many self-serve products, several hundred dollars a month for higher-capacity platforms or managed service, or thousands in one-time work for a custom implementation. The subscription is only one part of the bill.
The useful comparison is the monthly cost of a finished, maintained workflow: software, usage, setup, upkeep, human review, and expected rework.
Prices below are U.S. list prices checked on July 19, 2026. Vendor plans and usage rules change, so follow the linked official pages before purchasing.
Four ways to buy an AI agent
1. General self-serve AI: often $20–$100 per user each month
This category includes broad products that now support connected and agentic work.
ChatGPT Business listed $20 per user per month with annual billing and a two-user minimum, or $25 monthly. Its general workspace, connected apps, ChatGPT Work, and workspace-agent capabilities can be enough for research, creation, and some repeatable workflows.
Lindy listed assistant-focused plans at $49.99, $99.99, and $199.99 per month, with more inboxes and usage at higher tiers.
This path is inexpensive when the product already fits the job and you are willing to configure and maintain it. It becomes less inexpensive if the owner spends several hours a month repairing prompts, connections, and exceptions.
2. No-code agent platform: free to several hundred dollars each month
No-code platforms let you design agents around tools, schedules, and logic.
Zapier Agents listed Free with 400 activities per month and Pro at $33.33 per month billed annually with 1,500 activities. Separate Zapier tasks and AI tool calls may also affect cost.
Relevance AI listed Free with 200 actions per month, Pro at $19 per month annually or $29 monthly with 2,500 monthly actions, and Team at $234 per month annually or $349 monthly. Vendor credits for model and third-party usage are separate.
No-code can be the lowest-cost custom route when an internal operator already understands the process. Budget for that person's build and maintenance time.
3. Managed AI agent: typically a service price, not a seat price
A managed provider configures and operates the agent. The fee may include setup, hosting, updates, connections, recovery, and workflow tuning.

That does not make $500 automatically less expensive than a $29 platform. It is appropriate when the owner values the workflow but does not want to become the person who runs the agent system.
Other managed providers package work differently, so compare included implementation, usage allowances, support, and exit terms rather than the monthly number alone.
4. Custom development: quote-based, often with upfront and ongoing cost
A custom agent may be necessary for proprietary systems, strict authorization, unusual logic, high volume, or product-facing use.
There is no honest universal price. Scope can range from connecting a few APIs to building identity, audit, evaluation, monitoring, and recovery systems. Use a written estimate that separates discovery, implementation, testing, deployment, and maintenance.
For early planning, treat “several thousand dollars upfront” as a budget conversation—not an industry average or quote. Get at least two estimates against the same workflow specification. A fixed, narrow job is much easier to price than “build an AI employee.”
The six costs owners overlook
Subscription or platform fee
This is the visible plan price. Check minimum seats, annual commitments, feature tiers, and required companion subscriptions.
Model, action, or tool usage
One “run” may call a model several times and use several tools. Vendors count messages, activities, actions, tasks, tokens, or credits differently.
Estimate from a real workflow: if one completed lead follow-up uses six actions and you process 300 leads, the workflow uses about 1,800 actions before retries. The plan advertising 2,500 actions now looks different.
Setup time
Someone must map the process, prepare source information, connect accounts, write instructions, define permissions, create tests, and review the pilot.
Multiply internal setup hours by the fully loaded value of the person's time, even if no invoice is issued. Otherwise DIY appears free only because owner time was omitted.
Maintenance
Connections expire, fields change, business rules evolve, and edge cases appear. Assign a monthly allowance for reviewing failures, updating instructions, checking access, and testing changes.
Human review
Draft mode still consumes attention. Measure review minutes per run and the percentage requiring major correction.
An automation that saves 20 minutes of preparation but creates 18 minutes of anxious checking has not created much capacity.
Failure and rework
Expected failure cost is the frequency of a problem multiplied by the average cost to detect, correct, and repair its consequences.
You do not need an elaborate risk model. Include something. Ignoring failure makes the most autonomous option look artificially cheap.
A total monthly cost formula
Use:
monthly tool cost + usage + maintenance + human review + expected failure cost
Keep one-time setup separate, then spread it across the period you use for the decision—often 6 or 12 months.
Illustrative self-serve example
Suppose a $50-per-month product supports a weekly owner brief.
- tool subscription: $50;
- extra usage: $0;
- maintenance: 1 hour per month at an internal value of $75 = $75;
- review: 20 minutes × 4 runs at $75/hour = $100;
- expected rework: $25 per month; and
- setup: 8 hours × $75 = $600, spread across 12 months = $50.
The first-year monthly equivalent is $50 + $75 + $100 + $25 + $50 = $300, not $50.
The numbers are illustrative. Replace them with your plan and your time.
Illustrative managed example
Suppose a managed service costs $500 and the same workflow needs 10 minutes of owner review each week.
- service: $500;
- owner review: about 40 minutes per month at $75/hour = $50;
- additional internal maintenance: $0 in this simplified example; and
- expected rework: $25.
The monthly total is about $575. It costs more than the self-serve illustration, but it uses less owner operating time. Which is better depends on the quality, workflow scope, and value of that time.
Calculate break-even
Estimate monthly value from three buckets:
- Time returned: net hours saved after review × value of the person's time.
- Delay reduced: value of responding, preparing, or detecting issues sooner.
- Errors avoided: conservative value of fewer missed steps, not hypothetical perfection.
Then use:
monthly value created − total monthly cost = estimated monthly benefit
If a $300 total monthly setup returns four owner hours valued at $75 each, time alone reaches break-even. That does not prove the purchase is wise; it shows which assumption matters. If only two hours return, you need measurable value from speed or quality to justify it.

Run the workflow for two to four weeks and replace estimates with observed numbers.
How to keep the first agent affordable
- Start with one job and one owner.
- Use rules-based automation for deterministic steps.
- Connect fewer tools and fields.
- Begin read-only or in draft mode.
- Use lower-cost models for classification and extraction when the platform allows it.
- Cap runs, retries, actions, and spend.
- Review failures weekly so small problems do not become permanent operating cost.
- Stop a pilot that does not improve after clear corrections.
